Account abandonment policy.

Wooster will only keep active accounts open and accessible.  An account that has been abandoned will be removed and the information will be purged.  No end user notification will take place when an account is abandoned.

Definitions

  • Active account – An active account is any account that shows at least one login every 6 months.
  • Abandoned account – An abandoned account is any account that does not show at least one login in 6 months.
  • Active email account – An active email account is any account that shows at least one login every 6 months or has a forwarding rule set up to deliver incoming email to another account. 
  • Abandoned email account – An abandoned email account is any account that does not show at least one login in 6 months and does not have a forwarding rule to send email to another account.

Expectations

Employees, alumni, retired faculty and select retired staff are provided access to services from their relationship with Wooster.  Current employees would be granted access to systems deemed necessary for their current work.  Retired faculty are provided access to an Office 365 A1 license.  Select retired staff and alumni are provided continued access to email. 

Employees could have two accounts, and each will be addressed individually.

  • Directory account – Is not subject to removal for the duration of employment.  Accounts are used for time entry, email, network access, computer access, and other work functions.
  • Colleague Account – Is subject removal if usage drops to levels that indicates an abandoned account.   Accounts are used for access to the Colleague user interface for business functions.

Retired faculty

  • Directory account – Is subject removal if usage drops to levels that indicates an abandoned account.    Accounts are used for email, network access, access to office applications and other functions.

Retired staff

  • Directory account – Is subject removal if usage drops to levels that indicates an abandoned account.   Accounts are used for email, network access, and other functions.

Alumni

  • Directory account – Is subject removal if usage drops to levels that indicates an abandoned account.   Accounts are used for email, network access, and other functions.

Actions

  • Active accounts will be maintained including access to all associated services.
  • Abandoned accounts will be deleted, and all associated information will be purged.
