Equipment Checkout Policy and Procedures

Who Can Check Out Equipment?

All faculty, staff, and students of the College with a valid College ID are eligible to check out equipment. Reservations can be made in advance using the online booking system for convenience.

How to Check Out Equipment

  1. Visit the Technology Help Desk.
  2. Present a valid College ID for verification.
  3. Collect reserved equipment or request available equipment on a first-come, first-served basis.

Types of Equipment Available

A variety of technology equipment is available, including audio-visual devices, laptops, projectors, and more.

Loan Periods and Extensions

  • The standard loan period is 48 hours, unless otherwise indicated.
  • Extensions can be requested and are subject to availability.

Returning Equipment

Return all equipment to the designated location during operational hours. Ensure that all items are intact and in working condition upon return.

Late Returns, Damages, and Fees

  • Late returns are subject to fines.
  • Equipment that is damaged or lost will incur repair or replacement fees.

Procedure for Reserving Equipment

Reserving equipment such as computers, projectors, and PA systems through Technology Services is simple and efficient with the self-service portal at helpdesk.wooster.edu.

Step-by-Step Guide:

  1. Access the Portal: Visit helpdesk.wooster.edu.
  2. Log In: Enter your Wooster credentials to access the system.
  3. Initiate a Reservation: Click on “New Equipment Reservation.”
  4. Select Equipment Type: Choose the type of equipment needed.
  5. Choose Loan Duration: Specify your reservation period (options include 8 hours, 24 hours, 1 day, 5 days, or 7 days).
  6. Select the Asset: Choose your desired asset. Hover over the asset for detailed information.
  7. Verify Availability: Ensure your reservation time aligns with your needs. Note: All reservations are set for up to two weeks and must be returned within this period.
  8. Proceed to Next: Click “Next” at the end of the selection ribbon.
  9. Provide Additional Details: Add any necessary information related to your reservation.
  10. Confirm Reservation: Click “Confirm Reservation” to complete the process.

Confirmation and Approval:

  • You will receive an automatic email notification confirming receipt of your reservation request.
  • Once approved, follow the instructions provided in the confirmation email to proceed with equipment pickup or use.
