Equipment Reservations Through IT
The IT Help Desk loans technology equipment to the campus community, from laptops and projectors to cameras and audio gear. Reservations can be made in person, by email, or by phone, and most requests are confirmed the same business day. Loans run up to two weeks.
Eligibility
Current faculty, staff, and students with a valid College ID are eligible to reserve and check out equipment. Your College ID is required at pickup.
Equipment may be reserved on behalf of a department or an event. If you reserve equipment that another person will use, you remain responsible for its return and for any loss or damage.
Equipment loans are available to current members of the College community only. Guests, visitors, and alumni are not eligible.

This list reflects the categories the Help Desk carries. Availability of any specific item varies by date and demand.
How to Reserve
Reserve equipment using any of the following methods. Email is the most reliable, since it creates a written record of what you need and when.
- Email: Send a request to helpdesk@wooster.edu that includes the type of equipment, the pickup date, and the return date.
- Phone: Call the IT Help Desk at 330-287-4357 (330-287-HELP).
- In person: Visit the IT Help Desk in Burton D. Morgan Hall, 4th floor, Monday through Friday, 8:30 am to 5:30 pm.
Requests are reviewed by a technician and confirmed by email. Your confirmation acknowledges the request and tells you whether the equipment is ready for pickup. Wait for that confirmation before planning around a specific item.
Walk-up requests are welcome, but equipment cannot be guaranteed without a reservation. Demand is heaviest at the end of each semester and around commencement. Submit requests as early as you can during those periods.
Loan Periods and Extensions
- The maximum loan period is two weeks for all equipment types.
- Extensions are subject to availability and are not guaranteed.
To request an extension, bring the equipment to the IT Help Desk in person before the due date. A technician inspects the equipment and, if it is available for a further period, issues a new due date. Extensions cannot be granted by email or phone.
Laptop Loans
Laptops follow the same reservation methods as other equipment, with one additional requirement. Before a laptop is released, you complete and sign a loan agreement at the Help Desk. The agreement covers your responsibility for the device, the return date, and charges for loss or damage. Plan for a few extra minutes at pickup.
Picking Up Equipment
- Wait for your confirmation email stating that the equipment is ready.
- Come to the IT Help Desk in Burton D. Morgan Hall, 4th floor, Monday through Friday, 8:30 am to 5:30 pm.
- Present your College ID. Equipment cannot be released without it.
- For a laptop, complete and sign the loan agreement.
- Review the equipment and accessories with the technician and confirm the due date before you leave.
Returning Equipment
Equipment is due back to the IT Help Desk in Burton D. Morgan Hall, 4th floor, by 5:30 pm on the due date shown on your Loan Equipment Sheet.
- Save your work before you return a laptop. Every returned device is wiped so that no previous user data remains. Anything stored only on the device is permanently lost. Move your files to OneDrive or another location you control.
- Gather every accessory that came with the equipment, including cases, cables, chargers, remotes, batteries, and memory cards. All items are expected back.
- Return the equipment in person during Help Desk hours. A technician inspects the items and confirms the return.
The Help Desk is open Monday through Friday only, and there is no after-hours or weekend drop-off. If your due date falls on a Friday, plan to return the equipment that day.
Late Returns, Damage, and Fees
- Equipment returned after the due date is subject to fines.
- Equipment that is damaged, lost, or returned with missing accessories will incur repair or replacement charges.
- Charges are assessed by the IT Help Desk in consultation with the hardware technician and the Manager.
- Unreturned equipment may result in charges to your student account and a hold on your record, including a hold that prevents graduation. Holds are administered by the Dean of Students.
If equipment is damaged, stops working, or is lost while in your care, contact the Help Desk as soon as possible. Reporting a problem early is always better than waiting until the due date.
